Welcome to CTS Transcription Services.
My name is Diane Cantrell and I have done online transcription from my home since 2007.


The Transcription Process


Given the choices you make in how you operate your business, your daily tasks will vary somewhat and I'll explain what those might be as well. Since my business is handled entirely over the Internet, the actual process is relatively simple.


Freelance for Transcription Companies

Depending on the company's procedures, receiving the work will vary. With one of my companies I email them my availability for the next new days and they send me files meeting those times if they have them. For another one I log into their system and set a weekly schedule one and a half weeks in advance. Then I log in at my scheduled times that week.

Most transcription companies will have you download the voice file using an ftp software.  In the Resources section, you will find a site for a free ftp software that is very user friendly.

After receiving the file, it is transcribed according to the job's instructions and submitted back to the company, either via email or through the company's software.

Invoicing each company, again, is done according to their procedures. One company I email an invoice each week and they send my pay using direct deposit every week. Another uses direct deposit every two weeks.


Transcription Done Using Local Clients and Running Your Own Transcription Business

Client dictates his/her information into a digital Dictaphone recorder and uploads it to his/her computer. They send me the voice files as an attachment to email.

I retrieve the voice files and save them to my computer.

I retrieve that client's file folder in which I keep of all their contacts names and addresses, as well as a log sheet that I note the time I begin and end the transcription for billing purposes.

Open the voice file, open Word (word processing software), and transcribe the files. Save the work in that client's own folder in your computer.

Reopen the email that client sent me and reply back, this time attaching the typed documents. On this email, I include the total time and dollar amount for that day's work (so that there are no surprises when they get my monthly bill).

Once a month, I send my clients an invoice listing each day's documents typed, total minutes, dollar amount, and total due at the bottom. My invoices are due upon receipt and my client sends me a monthly check.

Now, as I said earlier, the above is how I run my business based on the fact that I want to keep it as remote a process as possible and based on the fact that my clients have a printer and prefer to print out their final documents themselves.

If you are opting to pick-up and deliver work the only difference would be in inserting the cassette and transcribing from the cassette rather than a voice file on your computer, printing final documents after receiving approval of the final draft, and delivering the documents for an additional fee. At that time, you could also pick up any new cassettes they might have for you.
